AQ-MarTest is seeking an Administrative Assistant to join our team in Europoort-Rotterdam. In this role, you will play a key role in ensuring the smooth operation of our administrative processes within our international organization.

Key responsibilites

  • Managing and coordinating incoming mail and correspondence;

  • Providing general administrative support to the office and operations manager;

  • Booking hotels, rental cars, and other arrangements for operators’ international business trips;

  • Filing and managing administrative files and documentation;
    Preparing, sending, and following up on orders and purchase orders in collaboration with Office Support;

  • Organizing external transportation;

  • Assisting with the processing of incoming invoices;

  • Organizing and coordinating training sessions and courses, such as forklift certification, first aid (BHV), and self-contained breathing apparatus, including planning, communication, and administrative processing, in collaboration with Office Support;

  • Updating and managing administrative data in systems such as Phronesys, SharePoint, and Excel, ensuring accurate and up-to-date records;

  • Requesting and following up on Limosa notifications and A1 certificates in the context of international assignments.

Requırements

  • Minimum vocational education (MBO) level of work and thinking;

  • Experience in an administrative role is preferred;

  • Proficiency in MS Office;

  • Accurate, proactive, and able to set priorities;

  • Good communication skills, both verbal and written;

  • Proficiency in spoken and written Dutch and English;

  • Ability to work independently with a flexible and practical attitude;

  • A structured and solution-oriented work ethic.       

The position is based on a full-time employment contract of 40 hours per week; a part-time arrangement of 32 hours per week is possible upon consultation.
